Sales And Return Policies

We accept returns and exchanges for hardware to make your online shopping experience as pleasant as possible.

Sales Policies

1. Order acceptance policy - your completion of checkout, or receipt of any electronic or other form of order confirmation, does not signify our acceptance of your order, nor does it constitute confirmation of our offer or any obligation to sell. Immedia Systems (immediasys.com) reserves the right at any time after receipt of your order to accept or decline your order for any reason.

2. We accept Visa, MasterCard, American Express, Discover, PayPal, Bank ACH/Wire Transfer, Money Orders, Cashier's Checks and Checks as methods of payment. We can only accept US-issued credit cards.

3. We may offer credit with Net payment terms to established businesses, educational institutions and government agencies subject to credit checks. Purchase Orders will then be accepted. To set up an account, please contact us.

4. Unless stated, all items that we sell are factory-provided, factory-sealed, brand new, and come with full new product warranties from the manufacturers. We do not sell open-box, B-stock, demo, used, refurbished or grey-market items as new.

5. We offer Free Ground Shipping for orders $400 and over within the lower 48 states of the United States. Expedited shipping is also available at additional cost. Please know that if free shipping is chosen, we may consolidate shipments if you order items that are out of stock or need to be shipped from multiple warehouses. This will result in delay of receipt. Free shipping does not apply to drop ships from manufacturers.

Most products ship the same day your order is placed and can ship overnight to anywhere in the US. Some items like large projection screens are excluded from free ground shipping as they require delivery by freight truck. Please contact us if you would like to be sure.

6. We collect and forward Sales Tax of 7.25% for items shipped to California. Depending on the warehouse stocking the items ordered, we may need to collect Sales Tax for Connecticut, Hawaii, Illinois, Louisiana, Maryland, Massachusetts, Mississippi and Tennessee. We will contact you if Sales Tax is needed.

7. International shipping is available at extra cost. Some items are not available for purchase outside the US. Please email or call prior to placing an order.

8. With larger and insufficient-stock/out-of-stock orders, we may be able to arrange for the manufacturer to drop-ship the order direct to you. Requirements vary by manufacturer. Please email or call to enquire.

9. Please note that no returns are allowed on consumables like batteries, labels, printer ribbons, RFID tags and access cards. Sales of these items are final.
10. The FAA has restrictions on shipping lithium-ion batteries by air, and express shipping of batteries requires special packaging and documentation that costs approximately $80. This is not included in the shipping calculations shown on the website. If this is needed, please contact us for a quote.

11. Items that are too large or heavy to ship by regular UPS or FedEx are sent by Freight Truck and may not be covered by our free shipping policy. It is not the driver’s responsibility to bring the freight indoors. Drivers do not assist with unpacking, assembly, set-up or clean up. If there are requirements for a lift gate or inside delivery, these are not included and additional charges will need to be added. Please check with us for any such requirements.
12. We may make changes to the content at the website and the store, including product descriptions and prices, at any time without notice. Immedia Systems does not make any guarantees as to currency or accuracy of this content.
13. For accounts on Net terms, we must receive payment for at least one order before we can process any subsequent orders.
14. Our prices are updated daily and unless otherwise quoted in writing or by email from us, we cannot honor prices that are more than a day old. Prices sent by quotes from us are valid for 2 weeks.
15. The stock counts on the product pages are updated at the end of every day. If the stock counts are low, please feel free to email or call to confirm.
16. For security reasons, we ship Signature Required with most orders.
17. For security reasons, we cannot process orders that bill and ship to different residential addresses. 
18. Please inspect boxes for damage at the time of delivery, and please refuse delivery for any boxes that show shipping damage. The shipping carriers will deny any responsibility if you claim shipping damage after you accept the package. 
19. In the unlikely event of non-delivery, any claims must be made within 30 calendar days of the order. This is the limit imposed by the shipping services. We are not able to help with claims after 30 days.
20. Credit card payments are only authorized at time of checkout. This authorization will be voided with any inability to fill an order.

21. We cannot provide free shipping outside the lower 48 states of the US. This includes (but not limited to) Alaska, Guam, Hawaii, Puerto Rico, Canada, Mexico, and all of South America.
22. Any purchase made from Immedia Systems signifies your agreement with all of the Terms of Sales and Return stated on this page.

Return Policies

1. All hardware returns must be pre-approved. Please request a Return Merchandise Authorization (RMA) number by email from returns@immediasys.com. Please state the reason for the return. The warehouse does not accept any returns without the RMA number.
2. In some cases, the manufacturer requires that they issue a return authorization before a return is allowed. We will let you know if this is the case and you will need to contact them directly to get this authorization. Asus and Magtek require this for all their items. Please know that devices like credit card readers may be non-returnable for security reasons. Please check and be very certain before ordering such items.

3. All returns and exchanges must be made within 30 days of delivery and are subject to a 10% fee if free shipping was chosen for the original order. This is to cover the original shipping and restock processing. The majority of returns and exchanges are due to incompatible connectors and other basic issues. We would like to advise customers to double check selected items, or check with us prior to placing orders.

4. All returns must be shipped back to the designated warehouse that is indicated in the email with the RMA number. If the return is made to our sales office, an additional freight charge will be applied to return the item to the warehouse.

5. All items returned must not be opened, used, or tampered with in any way. Returned items must be in their original, factory-sealed packaging. There must be no damage to all contents including the packaging and the product box. There must be nothing written or pasted on the product box. We ship all items inner boxed and they need to be sent back inner boxed as well. If any of these conditions are not met, the return will not be accepted and will be sent back.
If you are unsure about an item, please call, email, or check further. We keep our prices very low and we do not have a market to resell opened or used items.

6. Defective items may be replaced within 30 days of delivery. For replacement, all original packaging and contents must be returned with the item in good condition. Without the original packaging or after 30 days, the defective item can be repaired or replaced by the manufacturer of the item within the warranty period of the product. Some manufacturers, by their policy, choose to handle defective items directly. Please check with us if this might be the case.
7. We abide by all manufacturer's policies with regards to returns, repairs and exchanges. Some manufacturers require that they handle return, repair and/or exchange requests directly. If this is the case, we will refer you to them. In such cases, the manufacturer will assist you and provide instructions for how returns, repairs and exchanges are done. Any returns to us without their authorization will be rejected and sent back.

8. No returns or exchanges are accepted past 30 days of delivery.

9. The shipping cost for returns is the sole responsibility of the buyer.

10. No returns are accepted on consumables like batteries, labels, printer ribbons, media (including paper, tags and wristbands), and RFID tags. Custom manufactured products are also not returnable.

11. No returns are accepted for software when the license key has already been issued. Any exception must be gotten from the software manufacturer. It is the end user's responsibility to obtain this consent and exception from the manufacturer.
